Recently you indicated that you would be willing to host a spelling regional on Saturday, November 5, 2011. Thank you and I would like to take you up on your offer.
In order to host a regional, you will need the following people. One pronouncer, a minimum of two judges and someone who will serve as the site coordinator (it may be you, your Principal or someone else). These are all paid positions. Competitions usually begin at 10:00 a.m., however since some of you (Barre and Williston) are hosting both a 5/6 competition and a 7/8 competition, you may want to schedule one of the competitions in the afternoon. As the regional host, you will be sending a letter (usually by fax) to the schools who are coming to your site. This letter will contain the time of the competition, directions to the school and any other information you think would be necessary (I will send you a sample letter for your use). The rules for the competition are set out in the spelling guide. There are 12 rounds and there is a short break after round 4 and 8 (this allows for substitutions). If there is a tie at the end of the competition, the tied schools continue on a round by round basis until someone wins.
The VPA will be sending the spelling lists (both regular and bonus words) to you. You may want to give the list to your pronouncer so they can familiarize themselves with it. In addition, we will be sending you score sheets, name tags, certificates and evaluations. As the host, we ask that you conduct a coaches meeting about 30 minutes prior to the competition so you can introduce the pronouncer and judges to the schools and answer any additional questions they may have.
The final list of schools assigned to your site will be determined later this week. Once we have that done, we will fax a copy of each schools registration form to you along with a sample letter.
